  1. Your dedicated Brand Ambassadors account rep will contact you by phone and email within 1-3 hours of your submission — during business hours. If you submitted outside of business hours, you'll hear from us first thing the next morning. Your rep will:

    • Confirm your event details and ask any clarifying questions
    • Discuss your staffing goals and what success looks like for your event
    • Explain the services that best fit your needs
    • Begin building your custom quote

  2. Your rep will send a custom, itemized quote — not a generic pricing sheet. Every line item is explained. Staff count, roles, hours, deliverables, and the total are all clearly laid out. Your quote also includes:

    • Our recommended staffing structure for your specific event
    • Notes from your Free Event Plan Review — we flag anything that could affect your event
    • Permitting guidance if applicable to your activation
    • The details of your 1-per-9 backup guarantee

  3. Once you approve the quote and sign the contract, we begin sourcing your team immediately. We'll send you full staff profiles with headshots, experience notes, and past performance ratings. You review and approve your team — we don't place anyone without your sign-off.

    Once you approve, we confirm each staff member and automatically add your 1-per-9 backup members at no charge. Your backup team receives the same briefing and training as everyone else — so they're event-ready if needed.

  4. Your approved team completes 5 stages of event-specific training:

    1. Brand Ambassador Certification (if not already completed)
    2. Your written brand materials and talking points
    3. Product training videos specific to your brand
    4. A product knowledge quiz — they must pass to be confirmed
    5. A live brand call with your team — you join, share your energy and messaging directly

    This is the call that makes the difference. It's where your staff go from 'briefed on your product' to 'genuinely excited about your brand.' No other agency does this.

  5. On event day, your team checks in via GPS through The Brand Ambassadors App. You and your rep share a live group chat with the entire field team — participation is optional, but real-time visibility is always available.

    Your backup staff are on standby and briefed. Your onsite manager (if included) is running the team, capturing content, coordinating logistics, and communicating with you directly. Issues are resolved before you know they exist.

  6. Before you get home, you'll have your post-event recap delivered through The Brand Ambassadors App. It includes:

    • Photography and video from the event

    • Sample distribution totals (if applicable)
    • ROI summary and key performance data

We handle it before it becomes your problem. For every 9 staff you book, we include 1 free backup staff member on standby — briefed, trained, and ready. If anyone is late, sick, or cancels, that backup steps in immediately. If everyone shows up, you keep the bonus team member for the event at no additional charge.

Your rep will review your full activation plan — staff positioning, timing, briefing materials, logistics, and contingencies. We'll also advise on permitting requirements if applicable, and flag anything that could create problems on event day. This review is included at no charge on every program we staff.

None whatsoever. The quote and initial conversation are completely free with no obligation. We want to earn your business by being the right choice — not by pressuring you into a decision. If you decide not to move forward, that's okay. We'd still love the chance to work together in the future.

For most events, 48-72 hours for urgent needs. For trade shows, major events, or large programs, 2-4 weeks is ideal to ensure we have the best talent for your specific requirements. For major upcoming events like FIFA World Cup 2026 and the LA 2028 Olympics, we recommend booking as early as possible.
